PVFARM Anti-Spam Policy
Effective date: October 1, 2026

PVFARM prohibits unsolicited marketing email and is committed to respecting recipients’ communication preferences. This policy applies to PVFARM employees, contractors, agencies, affiliates, and other parties sending email on PVFARM’s behalf or promoting PVFARM through email.

1. Permission to send marketing email

Marketing emails, including newsletters, promotional announcements, webinar invitations, and sales campaigns, require the recipient’s express permission.

PVFARM requires confirmed opt-in, also called double opt-in, for marketing subscriptions. After requesting a subscription, the recipient receives a confirmation email and must confirm control of the email address before marketing messages begin. Unconfirmed addresses must not receive marketing campaigns.

A publicly available business email address, business card, purchase, account registration, event attendance, or demonstration request does not automatically authorize an ongoing marketing subscription. Marketing consent must be obtained separately.

2. Prohibited mailing practices

PVFARM prohibits:

  • Marketing to purchased, rented, scraped, harvested, appended, or automatically generated email lists.
  • Using a third-party contact database as evidence of permission.
  • Adding recipients to marketing campaigns without documented consent.
  • Continuing marketing after an unsubscribe request or spam complaint.
  • Changing sending addresses, domains, or providers to bypass a recipient’s opt-out or evade an unresolved abuse issue.
  • Misleading sender identities, subject lines, or links.

These restrictions apply equally to campaigns conducted by third parties.

3. Consent records and list management

PVFARM must retain records showing the recipient’s email address, subscription source, date and time of consent, consent language presented, and confirmation event.

Marketing lists must be checked against suppression records before sending. Addresses associated with spam complaints, unsubscribes, or permanent delivery failures must be removed from active marketing campaigns.

Suppression records must be maintained across PVFARM’s marketing systems so that imports or provider changes do not reactivate excluded recipients. Marketing may resume only after the recipient independently requests and confirms a new subscription.

4. Sender identification and unsubscribe

Marketing messages must clearly identify PVFARM, accurately describe their content, and include a valid postal address and an obvious unsubscribe option.

Recipients may stop all marketing email through the unsubscribe option or by emailing abuse@pvfarm.io. Unsubscribing must be free and must not require an account login or information beyond the email address.

PVFARM must process unsubscribe requests promptly, with a maximum processing time of two business days. Unsubscribe mechanisms must remain available for at least 30 days after a message is sent.

5. Requested and essential communications

PVFARM may respond to inquiries and send necessary account, billing, security, and service communications. These messages must remain relevant to the request or service and must not be used to continue promotional campaigns after a marketing opt-out.

6. Third-party oversight and enforcement

Parties sending email on PVFARM’s behalf must follow this policy, provide evidence of permission when requested, and honor suppression records. PVFARM must investigate suspected violations and suspend affected campaigns or senders while corrective action is taken.

Authorized sending systems must use appropriate email authentication. PVFARM must review complaints, delivery failures, and reputation alerts to identify and address abuse.

7. Reporting unwanted email

Report unwanted email involving PVFARM to abuse@pvfarm.io.

Where available, include the original message, sending address, date received, and full email headers to help the investigation. Providing these details is optional and is not required to unsubscribe.

PVFARM will investigate reports and take appropriate action to stop unauthorized or noncompliant sending.
